Title: Crating reservations
Post by: Lindsey Cooper on March 12, 2018, 08:36:29 AM
A few of us are wondering how the crating reservations is going to work for Gillette? In the past it's always been first come first serve.
Also - are there stalls available for rent somewhere near by? I had someone ask me about that.

Can you please enlighten us on how it is going to work this year?

Thank you!
Lindsey

We're going to do a online reservation system, similar to what we did last year in Ohio.

So still essentially first come first serve, but instead of having people climbing over each other at the event, we'll do it online.

There will be a select few spaces that will be kept reserved for handicapped handlers or crew members.

There won't be any stalls available this year, as there just aren't any at the facility :)

Just curious - will you have a lay-out like you did for Ohio or will it be just a reservation and then find a space when one gets there.  If I remember correctly, there is a huge area, so space shouldn't be an issue.

We’ll have a tape layout like we did in Ohio :)

We are expecting a pretty big group from Jumping Chollas in Phoenix.  Will we be able to reserve a larger space as a group?

Yup we’ll do the group crafting areas again.

How will a club be able to reserve a group crating area? I suppose that will be clear in the online reservation area? It is looking like Ready 2 Run could have a large contingent.

Thanks!

It is a first come first serve deal.

But when it opens up it will have the option of reserving multiple spots.   Just please don’t reserve more than you need,   We has to revoke a few last year because groups reserved 6 spots for something like 7 club members,  which isn’t a great use of space :)

The group creating areas are 10x20 and the individual crating is 10x10

Sounds like a nicer, more organized system.

Southern California will have a large group wishing to crate together again this year.     8)

Last time I was in Gillette for Champs it was made crystal clear that the crating area would be a place of quiet and rest for our dogs (and us  :)).  I remember that noisy dogs would be in a certain area so it could be quiet in the main crating area. It was soooo nice to relax and our dogs relaxed too. In that big room we could actually have quiet conversations without having to yell - that hasn't always been possible in the barns in Utah. Is that going to be possible again in Wyoming, having a quiet space to crate?

Thanks,
Kyle

OK, call me dense (you have before!) AND confused!  I'm sure you have this all figured it out, but I haven't - so, please help?

"First-come, first-served" and "reservations" seem contradictory to me.

Is the first-come part just that:  if you make your reservation early, you'll have a better chance of getting one??  (but there's almost unlimited space there, so that doesn't make sense to me)

Is the reservation just that you have *A* space, any space, somewhere in that room - and if you get there early enough, you'll get to pick WHERE that space is?

Seems like a res is a res, and if I made an individual res, I'd have an assigned individual space.  But no?

And I offered to make some group reservations for some of the CO/NM/SD folks, so another question:  can an individual make reservations for individual spaces AND group spaces?  (The latter might be more space-efficient for everyone!)

Thank you from the cob-webbed brain, who is really looking forward to Gillette!

You're all good, I could have worded it better :)

It's first come first served in regards to making the reservation online.    Since we aren't charging for them, it's 100% guaranteed that the closest spots will get reserved first when the page gets opened up.    So that is what I was referring to.

Whichever spot you reserve online is where you will be when you get there.  Same as we did in Ohio.

One person can make reservations for multiple areas.    We will just end up following up with those people to make sure the reservation is needed.   We had to revoke a couple last year when folks reserved three 10x20 spots for something like 4 people.   Which was pretty excessive :)
So long as the number of spots you reserve logically matches the number of people in them you will be all good.

Anyone from OK or KS planning a group area for reservations?

Adding to Diane's questions.....when we (well, Diane in our case) make/s the reservation, you said that the close spots will likely fill first (beyond the worker/handicap area). Does that mean there will be a map posted and we get to pick the (available) spots? I'm envisioning something like choosing seats in an arena for events.

Like Diane said, I'm sure you have it all squared away, but our group is just trying to sort it all out!

Thanks for all you do!

Exactly as you’re imagining it.

There will be a map with each space numbered,  you choose the spaces you want and hit submit :)

Amy, we'll be there, both whippets.  Have NO idea what I'm doing as I've never been to Champs before!  So this whole crating reservation thing confuses me.  If we DON"T reserve space, does that mean we won't get one?  Or we just get to pick one if we DO?

You will want to reserve a spot if you want to be anywhere close to the front of the building.   Basically all the spots that aren’t reserved will become the ‘open’ spots,  but they are going to be farther away

This is just for your set up right? But you would have well-in-advance knowledge of when you are suppose to run so being farther away wont be too big of a disadvantage? I've never been. I'm toying with the idea of going but am not ready to to financially commit. I know you said that you wouldn't expect the event to fill till around June-ish so If I wait till just before then to sign up and get a crating reservation it wont be a major issue right? It's not like I have a group or people so it would just put me farther from the ring?

Correct in assuming you will know when you're supposed to run.  Being closer just means you don't have to walk back and forth as much to see what's going on and when you might be up.  But last year they were also announcing dogs and their run order #s so if you were listening and paying attention you could gauge from that when you needed to head into the main arena.

Correct!

Being far away isn’t really a negative thing.   At most we’re only talking a difference of maybe 300 feet as well.

And you’ll definitely know exactly when you’re going to be running,  so time to walk up shouldn’t be a factor

Ready 2 Run will have a large contingent that would like to reserve a large group spot. Am I to assume for 1 person with 1 dog (or two dogs sharing one ex pen) we should reserve one 10x10 spot? And if someone is bringing two large dogs -- thereby two ex pens -- we should reserve one 10x20 spot?

We have 30 people and 40 dogs we are hoping can crate together!! We are ready to reserve at 10:00am tomorrow for the whole group!

Thanks for any heads up info!

A good rule of thumb from last year was 4 dogs to a 10x20 spot was pretty good.   We’re going to have about 48 group spots to start with.  If they fill up too quick then we’ll create some more.

I see crating reservations available for #1-12  but not for 13-24 (individual)-can you explain?

Since Group was full within the first 5 minutes I created a group in the individual area..  I'm not sure I did it correctly.    Each number, such as A-5 and B-7 are 10x010 areas?  Each light shaded box, such as A-5 through A-12 would have 8 10x10 set ups in it.  Is that correct?   Seems the building is not long enough for the 20 Sections (A-T) that is in the individual crating area.

It’s definitely big enough :)

And yes I believe you have the crating all figured out in regards to where the spaces lay out

The regular crating areas are split into A through T with 12 spaces in each of the letters.

Not to bug you, but each letter has the numbers 1-24, not 1-12???  (at least on the map, not on the list to check to reserve)

So I stand corrected!

There was definitely an error in the original crating layout.   Way too many spots for the building size.    Not sure how that happened but we have corrected the issue and emailed anyone affected.

Luckily we should have enough crating space in the building to accommodate around 330+ dogs, assuming everyone followed the rules in regards to how many spaces to reserve for their number of dogs.
So we should still have plenty of room :)

We’re going to be following up with some of the current reservations to make sure people didn’t reserve more than they needed.

We should have had enough room for around 330+ dogs.   So I think a few folks reserved more then necessary.    If you email me I can put you on a waiting list so when a spot opens up you’ll have first dibs :)

So, if crating has all been reserved already, is this indicative to the event filling up already? I wasn't really ready to make that financial sign-up commitment yet and figured I had some time, but if crating has all been reserved is it because the event is close to closing? Or just people are reserving suites for their dogs and I don't need to make any immediate sign-up decisions? Is there any chance you will have too many entries for crate spaces?

We do have more entries than I expected at this point,  but we aren’t close to filling yet.   So I believe people are just reserving the crating now because it’s free.

I mentioned it above too I expect some spots to open up over the next couple of weeks because I think people over booked.

You wouldn't recommend reserving a crate space now (0r when they open up again) before I know if I'm actually going right? There isn't a chance we would Not get a space if we are competing I would assume? We don't need a 10x10 by any means. Just toss us in a corner and give me one of those pagers that buzz when your table is ready so I know when to come to the ring ;)

We’re going to add a waiting list option to that page.   So I would just go for that and then when a spot opens up we’ll assign it to you :).  And then if you don’t go we’ll open it back up for the next person on the list

We should have some opening up
